Administrative Assistant

This individual reports to the President and is responsible for providing administrative support to the President. These duties include but are not limited to: database system maintenance and training, office supply purchasing, meeting coordination, typing, filing, reception, volunteer coordination and telephone duties.

DUTIES AND RESPONSIBILITIES
  • Organize Meetings via email, texts & phone calls.
  • Provide training to new volunteers on various databases
  • Maintain and improve all databases
  • Distribute incoming mail and prepare outgoing mail including bulk mail.
  • Convey messages to appropriate individuals from phone calls and other requests.
  • Fill out applications for stores, organizations, websites, government agencies, grants etc.
  • Maintain office area, keeping it clean and free from clutter
  • Type minimum 55 wpm
  • Contact clubs, churches, organizations etc. for financial support/promoting events via mail, email, calls.
  • Prepare documents as needed.
  • Order office supplies and monitor inventory.
  • Update and maintain mailing lists.
  • Produce mailing labels and reports as requested.
  • Maintain appropriate interpersonal relationships with volunteers, Board Members, Officers and Donors.
  • Facilitate special event planning, registration and execution.
  • Assist with various program operations as requested as responsibilities permit.

  • Other duties as assigned.
REQUIRED QUALIFICATIONS
  • High School Diploma
  • Demonstrated written and oral communication skills
  • Demonstrated ability to work independently and as a team.
  • Clerical or administrative experience preferred.
  • Familiarity with Microsoft Office software (Word, Access, Excel, PowerPoint)
  • Knowledge of general office machines and telephone system.
  • Ability and willingness to work cooperatively with others with a happy disposition.
  • High degree of discretion dealing with confidential information.
  • Ability to speak well with vendors, donors, potential donors, businesses and government agencies
